Staff media consent

Why media matters

Photography and media play an important role in the work of First Steps Together.

Visual and audio content helps us show who we are, reflect our values, celebrate positive moments and present our work professionally and authentically. It allows us to represent the organisation at its best, both internally and externally.

What consent covers

Our online consent form covers the taking and use of photographs and other media, such as video or audio recordings, captured in the course of our work.

Content will always be used in an appropriate context and will reflect professionalism, positivity, dignity and our organisational values.

Where media may go

Content may be used for internal communications (such as staff updates, newsletters, or training materials) and, where consent is given, on public organisational channels, including our website, recruitment materials, and social media.

Images will not be shared with or used by third parties without additional agreement.

Your choice

Consent is entirely voluntary. Staff are invited to make a simple choice to either opting in or not opting in at this time. Choosing not to give consent will not affect appraisal outcomes, role responsibilities, opportunities, perceptions, or how you are treated within the organisation.

Editing of media

Content may be lightly edited to improve clarity or professionalism, such as adjustments to improve lighting, framing and quality. There will be no cosmetic alteration, misrepresentation or changes to personal appearance without consent.

Consent to photography does not mean consent to modifying how someone looks.

Reviewing content

To support timely and consistent communications, images and other content will not usually be checked with individuals before publication, for example on news pages or internal updates. All media published will be professional and authentic.

Staff will be made aware when photos and/or video or audio recordings are being captured.

Where content is intended for media use or could become particularly prominent, it will be sense-checked with relevant staff.

Withdrawing consent

Individuals may withdraw consent for specific images or media at any time, by emailing n.ransom@fstmanagement.uk.

Safeguarding

Safeguarding, dignity and professionalism are always prioritised. Content will not be used in a way that compromises safeguarding, and all images are reviewed before use.

Content is stored securely, with access limited to authorised staff only and handled in line with GDPR and data protection requirements.

Duration of consent

Consent can be withdrawn at any time without explanation. Once withdrawn, images and other content will be removed from future use immediately.

Existing materials will remain in operation where already published, but content will not be reused or reproduced going forward. If someone leaves the organisation, the media will not be used in new materials after their leaving date.

Where there is a dispute, contentious departure, or where continued use could reasonably cause distress, disadvantage, or upset, use of their content will be paused or stopped.

Consent remains valid until it is withdrawn. Some existing materials may remain accessible until they are reviewed or refreshed as part of normal update cycles.

Who can I contact?

If you have any questions, wish to withdraw consent, or want to discuss the use of images or other media, please contact Nick Ransom via n.ransom@fstmanagement.uk.
